OFFICE OF THE CITY CLERK CITY OF CAMBRIDGE [phone removed] FAX: [phone removed] DONNA P. LOPEZ PAULA M. CRANE CITY CLERK DEPUTY CITY CLERK DATE: JANUARY 21, 2016 TO: THE HONORABLE, THE CITY COUNCIL FROM: DONNA P. LOPEZ, CITY CLERK SUBJECT: COHEN ZONING PETITION - LEGAL AD Please be advised that the hearing scheduled by the City Council to discuss the zoning petition filed by Peter L. Cohen, et al has to be rescheduled. The hearing has been rescheduled for Wednesday. February 24, 2016 at 5:30 PM in the Sullivan Chamber. This hearing has to be rescheduled due to an error by the Chronicle which did not advertise the legal notice for two consecutive weeks. The error was caught by this office and there was an effort to rectify the situation by the Legal Advertising representative at the Chronicle. However, the correct document was not re-exported by the artist and the second advertisement for this hearing did not appear in the newspaper. The new legal ad will appear in the Chronicle on January 28t and February 4t. CITY HALL, 795 MASSACHUSETTS AVENUE, CAMBRIDGE, MASSACHUSETTS 02139

January 21, 2016 Dear Marybeth I am writing in response to our phone conversation this morning, regarding the missing Legal Notice for the PETER L. COHEN ORDINANCE. On Tuesday, January 19, it was discovered that Dawn in my office had inadvertently not booked the notice for 1/21 (which was requested for 1/14 and 1/21/16 editions). We were able to get it booked for 1/21, and I laid out the Legal Notices pages over again (they had previously been exported to Pagination on Monday, 1/18). I spoke with our artist, to have her re-export the file to Pagination. I also emailed Pagination to let them know that an updated version was coming over, and received an email back stating that, as long as the size was not changing, it would be fine. Upon research, it was determined that the revised 2° page (which is where this notice was to have appeared), was not re-exported by the artist, and the original 2nd page that was exported on 1/18 is what was picked up by Pagination and run, due to the error on the artist's part. I sincerely regret, and apologize, for this error, and any difficulties it causes the City or the Applicant. Sincerely, Debra Dillon Legal Advertising Representative PS - following are screenshots of our pagination and export screens, showing page 2 how it should have appeared.
